ITK workshop agreement template

1. SUBJECT OF THE AGREEMEN

This agreement concerns the implementation of the ITK Workshop held in connection with the ITK Conference at Tampere Hall on 22 April 2026, and the sharing of related costs. 

The workshops will take place on 22 April 2026 from 10:00 to 17:00 as part of the ITK Conference. The duration of an individual workshop may be 1 hour 15 minutes, 3 hours, or 7 hours. 

The workshop content should be as interactive as possible.

Contracting parties

ITK Organization: The organizers of the ITK Conference, who manage the conference and workshop facilities as well as ITK communications.

Implementer: The organization responsible for executing the workshop.

3. tERMS OF AGREEMENT

3.1. Arrangement of Facilities

The ITK Organization annually reserves facilities for ITK Workshops. The number of available spaces is limited.

3.2. Workshop Implementation

The implementer primarily applies to organize a workshop through the ITK Organization’s annual Call for Papers process. The ITK Organization selects workshops within the limits of available space.

The implementer is responsible for:

• Practical arrangements of the workshop.
• Costs of presenters, facilitators, and other personnel.
• Acquisition of special equipment and related costs.
• Workshop communication and marketing, including associated costs.

3.3. Responsibilities of the ITK Organization

The ITK Organization will:

• Include the workshop title and a short description in the ITK Conference program and other publications.
• Promote the workshops as part of the conference communications.
• Handle workshop registrations and invoice any participation fees from attendees.

3.4. Fees and Cancellation Terms

The implementer shall pay the ITK Organization a venue rental and administrative fee as follows:

Any cancellation of the workshop must be made no later than 22 March 2026. Workshops cancelled after this date will be charged the full venue rental fee.
